What would it take to start a Newcastle branch?

Motivation, desire, and about 20 financial members from the region.
You could easily take in surrounding areas, but New England might be a bit far. Then again, Perth branch has members from Broome, and Adelaide takes in Darwin.

20 is a good number for maintaining sufficient interest. You can of course start with fewer members (at least 5, I think, from my memory of the constitution) but 20 seems to be the critical mass which allows it to sustain itself.

well august October is the big EV months in the hunter so we should arrange a meetup to discuss the idea I guess.
if we decide soon to attempt creating a branch or not the upcoming activities are a good place to recruit members.

When starting our Tasmanian branch we didn't know whom to ask, and so got bits and pieces of (sometimes conflicting) information from several sources. It can be a mite confusing - especially when none of our group had had any experience in another branch.
I've been thinking that I should write a "how to" guide on starting a new branch. I probably should get started while it is still fresh in my mind!

I forgot the EV festival was on again, should take the Vectrix and do a couple of laps.
I *really* need to throw the leaf cells in it, the thundersags are living up to their name (143V resting to 102.9V @ 150A urk). Not going to be real competitive with anything at that rate.

Weekends are al right for me week days a bit harder.
Just pick a time and date for the first meeting and go from there. Meetings times is one of those things you can't please everyone.

we resolved to have monthly meetings
get more information on the benefits of forming a branch compared to just being a group of people with similar interest. if AEVA provide insurance funds etc.

It sounds like plenty of interest from the region. The AEVA does offer public liability insurance to branches who host events and attend displays, as well as a bunch of other great stuff. If everyone started or renewed their membership, it's generally a fairly straightforward process to start an official branch.
Gabs, if you can send your meeting minutes, complete with an attendance record to Daryl, he can start to get the branch formation process rolling.

The Motions proposed at the AGM will greatly affect our ability to form as a branch. may be best to put of any formation until after the vote.

I think it's fair to say the motions proposed wouldn't affect your ability to form a branch, they'd just affect how the branch would fit into the AEVA hierarchy.
IMHO, most regional branches aim to provide venues/times for enthusiasts to get together and swap ideas/stories about their vehicles/dreams rather than providing a forum for political activism and grandstanding over the bigger picture.
If that's correct, then the proposed new structure fits quite well, I believe.
